These Terms of Service (“Terms”) govern your use of the Road West Transportation website and transportation brokerage services.

By accessing our website, requesting a quote, or booking transportation services through Road West Transportation, you acknowledge that you have read, understood, and agree to these Terms.

1. About Road West Transportation

Road West Transportation Inc operates as an auto transportation broker.

We arrange transportation services between customers and independent, licensed motor carriers.

Unless expressly stated otherwise, Road West Transportation does not physically transport vehicles. Transportation is performed by independent motor carriers.

2. Transportation Services

Road West Transportation may arrange the following services:

  • Open auto transport
  • Enclosed auto transport
  • Door-to-door transportation
  • Dealer and auction transportation
  • Expedited auto transport
  • Non-running vehicle transportation

Transportation availability depends on route, vehicle specifications, requested dates, carrier availability, equipment, and other transportation conditions.

3. Quotes and Pricing

Transportation quotes are based on the information provided by the customer and transportation conditions available at the time of the quote.

Pricing may be affected by:

  • Pickup and delivery locations
  • Vehicle year, make, and model
  • Vehicle size and weight
  • Vehicle condition
  • Running or non-running status
  • Transport type
  • Requested pickup date
  • Route conditions
  • Carrier availability
  • Changes to shipment requirements

A quote does not guarantee carrier availability until the shipment has been accepted and confirmed.

If shipment details change after a quote has been provided, the transportation price may change accordingly.

4. Carrier Selection

Road West Transportation may select and coordinate with an independent motor carrier based on the requirements of the shipment.

Carriers may vary in equipment, availability, scheduling, insurance coverage, and transportation procedures.

Road West Transportation makes reasonable efforts to work with qualified carriers appropriate for the requested shipment.

5. Pickup and Delivery

Pickup and delivery dates and times are generally estimates unless specifically guaranteed in writing.

Transportation schedules may be affected by:

  • Weather
  • Traffic
  • Road conditions
  • Mechanical problems
  • Driver availability
  • Carrier scheduling
  • Vehicle loading or unloading delays
  • Government restrictions
  • Accidents
  • Other circumstances outside reasonable control

Road West Transportation will make reasonable efforts to coordinate the shipment and communicate important updates.

6. Vehicle Condition

The vehicle’s condition should be documented at pickup and delivery.

The customer should inspect the vehicle carefully at delivery and review the applicable Bill of Lading or vehicle condition report.

Any visible damage should be documented with photographs and noted on the applicable delivery documentation whenever possible.

7. Vehicle Preparation

The customer is responsible for properly preparing the vehicle for transportation.

Customers should:

  • Remove personal belongings and valuables
  • Remove or secure loose items
  • Leave approximately ¼ tank of fuel
  • Disable alarms
  • Provide working keys
  • Disclose mechanical problems
  • Disclose modifications that may affect loading or transportation

Failure to disclose relevant vehicle conditions may result in additional charges, delays, or cancellation.

8. Non-Running Vehicles

Customers must disclose if a vehicle is non-running, damaged, modified, lowered, oversized, or otherwise requires special handling.

Special equipment may be required, including winches, forklifts, or other loading equipment.

Additional transportation charges may apply.

9. Personal Belongings

Customers are strongly encouraged to remove all personal property from the vehicle before transportation.

Personal belongings may not be covered by the motor carrier’s cargo insurance and may be subject to carrier restrictions.

Road West Transportation is not responsible for personal property left inside a vehicle.

10. Carrier Insurance

Transportation is performed by licensed and insured motor carriers.

Applicable insurance coverage is provided by the motor carrier according to its insurance policy and applicable requirements.

Insurance coverage, exclusions, deductibles, limits, and claims procedures may vary by carrier.

Customers may request applicable carrier insurance information.

11. Damage Claims

If damage occurs during transportation, the customer should:

  1. Document the damage with photographs.
  2. Note the damage on the applicable Bill of Lading or delivery documentation.
  3. Notify the motor carrier.
  4. Follow the carrier’s claims procedure.
  5. Provide supporting documentation when requested.

Road West Transportation may assist with communication and coordination between the customer and motor carrier.

The motor carrier is responsible for transportation-related claims to the extent provided by applicable law, the carrier’s insurance policy, and the applicable transportation agreement.

12. Cancellation & Refund Policy

Cancellation Before Carrier Assignment

Customers may cancel their transportation order at no charge before a motor carrier has been assigned and dispatched to the shipment.

Cancellation fee: $0

Cancellation After Carrier Assignment and Dispatch

Once a motor carrier has been assigned and dispatched, Road West Transportation has performed brokerage and carrier coordination services.

If the customer cancels after carrier assignment and dispatch:

Cancellation fee: $249

Carrier Attempted Pickup / Dry Run

If the carrier has already arrived at the pickup location or attempted to pick up the vehicle and the shipment cannot proceed due to circumstances attributable to the customer, the customer may be responsible for:

$249 cancellation fee + any actual documented carrier or third-party charges incurred.

These charges may include dry-run, storage, redelivery, or other transportation-related expenses.

Cancellation After Vehicle Pickup

Once the vehicle has been picked up by the motor carrier, the shipment is considered in transit and is no longer eligible for standard cancellation.

Any requested changes to delivery arrangements will be handled on a case-by-case basis and may result in additional transportation or carrier charges.

Rescheduling

Customers should contact Road West Transportation as soon as possible if they need to change their pickup date or shipment details.

We will make reasonable efforts to accommodate changes before a carrier has been assigned.

Changes after carrier assignment may result in additional charges depending on carrier availability and costs already incurred.

The cancellation becomes effective when Road West Transportation receives the cancellation request.

Refunds

If a customer is eligible for a refund, the refund will generally be issued to the original payment method.

Processing times may vary depending on the payment method and financial institution.

Applicable cancellation fees or documented third-party charges will be deducted from any amount otherwise eligible for refund.

13. Customer Responsibilities

Customers are responsible for providing accurate information regarding:

  • Vehicle year, make, and model
  • Vehicle condition
  • Vehicle size and modifications
  • Pickup location
  • Delivery location
  • Contact information
  • Special transportation requirements
  • Requested transportation dates

Incorrect or incomplete information may affect pricing, scheduling, carrier selection, or transportation availability.

14. Pickup and Delivery Locations

Pickup and delivery locations must be accessible and safe for the transportation equipment being used.

If the carrier determines that the requested location cannot be safely accessed, the customer may be required to meet the carrier at a nearby safe and accessible location.

15. Force Majeure

Road West Transportation and the motor carrier are not responsible for delays or inability to perform caused by circumstances beyond reasonable control.

These may include:

  • Severe weather
  • Natural disasters
  • Road closures
  • Accidents
  • Government restrictions
  • Strikes
  • Mechanical failures
  • Acts of terrorism
  • Civil disturbances
  • Other unforeseen events

16. Third-Party Services

Road West Transportation may work with independent motor carriers and other third-party service providers.

Those parties may have their own agreements, policies, insurance requirements, and terms.

Customers may be required to comply with applicable carrier requirements in addition to these Terms.

17. Website Use

You agree not to:

  • Use the website for unlawful purposes
  • Submit false or misleading information
  • Attempt to interfere with website operation
  • Attempt unauthorized access to website systems
  • Use website information for fraudulent purposes
  • Misrepresent your identity or vehicle information

Road West Transportation reserves the right to refuse or terminate service when reasonably necessary to protect the company, customers, carriers, or the integrity of its services.

18. Limitation of Liability

To the maximum extent permitted by applicable law, Road West Transportation’s responsibilities are limited to the brokerage and coordination services it provides.

Road West Transportation is not the motor carrier responsible for the physical transportation of the vehicle unless expressly stated otherwise.

The independent motor carrier performing the transportation is responsible for matters within its legal and contractual responsibility.

Nothing in these Terms is intended to waive or limit any rights or protections that cannot legally be waived or limited.

19. Changes to These Terms

Road West Transportation may update these Terms from time to time.

When changes are made, the updated version will be posted on this page with a revised “Last Updated” date.

Continued use of the website or services after changes are posted constitutes acceptance of the updated Terms to the extent permitted by applicable law.

20. Governing Law

These Terms shall be interpreted in accordance with applicable federal and state law.

Any specific governing-law, venue, arbitration, or dispute-resolution provisions should be finalized based on Road West Transportation’s business structure and applicable jurisdiction.
